1.   PURPOSE:

    To offset some of the costs for providing public information and City paraphernalia when requested.

2.   GENERAL POLICY:

   
2.1  
(a)   With the exception of providing the Minutes of current Regular Council meetings and the Regular Council Meeting package, the City upon receiving a request in writing where possible for public information of Council, will charge a cost associated with providing this information.

(b)   That in every instance, the actual cost of postage will be charged to the   recipient of the information.

2.2   The attached Schedule "A" outlines the charges that will be charged for public information and City paraphernalia.

2.3   City Administration shall establish a billing procedure to ensure continuity of this policy procedure.

3.   LOCAL AUTHORITY FREEDOM OF INFORMATION AND PROTECTION OF PRIVACY:

   
3.1   Information requested under The Local Authority Freedom of information and Protection of Privacy Act and not identified in Schedule "A" shall be provided in accordance with the Act subsequent to the completion of the application form and remittance of a $20.00 filing fee.  Additional Fees may be applicable and clients will be provided with estimates of such charges prior to research work commencing.  Refer to the Local Authority Freedom of Information and Protection of Privacy Policy (#20.150) for additional information.
3.2   The Director of Legislation & Procedures (City Clerk) shall be delegated as the information officer and shall receive all applications under The Local Authority Freedom of Information and Protection of Privacy Act.

4.   RESPONSIBILITY:

    The City Manager shall be responsible to recommend to Council an update to this policy.

The $20 processing fee and prescribed fees may be waived, as per the Local Authority Freedom of Information and Protection of Privacy Act, in circumstances where Appilcants are inquiring about their own personal information or are faced with financial hardship.  The person designated as the head in charge of administering the Act, on behalf of the City of Yorkton, will respond to such inquiries.
